10.2    ROLES AND RESPONSIBILITIES


Position
Responsibilities
Managing Member
The managing member of the business is John Thato. His responsibilities will encompass all management functions, these include: planning, leading, organizing, controlling and coordinating. John will have a strategic role in the entity and manage the team, processes and systems in the business. He will ensure that targets in terms of operations, human resource, finance, marketing and so forth are met. Moreover, John will ensure that workplace health and safety requirements are met. He will also ensure that accountability aspects relating to the security of the stored goods are met. The duties of the Managing Member will essentially encompass the following:

  • Recruiting and training of staff
  • Monitoring the performance and progress of staff
  • Activity management
  • Overseeing the warehoused goods
  • Overseeing distribution
  • Planning future capacity requirements
  • Ensuring customer satisfaction
  • Overseeing the planned maintenance of distribution vehicles
  • Ultimately implementing the business plan

Finance and Administration Officer
The primary duty will be to perform the day to day processing of financial transactions and ensure that ExpressX Warehousing and Distribution (Transportation) Services   finances are maintained in an effective, up to date and accurate manner. The finance and administration officer will be responsible for the following:

  • Reception duties such as attending to clients
  • Record keeping and data capturing
  • Prepare, verify and process invoices and issue them to clients
  • Prepare statements and dispatch them to clients
  • Receiving payments 
  • Making accurate payments
  • Recording all payments i.e. cheques
  • Maintain a listing and ageing of all accounts receivable and payable
  • Reception and administration duties

Sales and Marketing Officer
ExpressX Warehousing and Distribution Services will recruit a marketer to promote the awareness of the business and the service offering. The marketer will work on a part time and need basis. They will source customers for the business and conduct market surveys so as to establish the preferences, trends and other market intelligence information in the market.
Warehousing and Distribution Manager
The warehousing and distribution manager will manage the team and all activities involving storage and distribution.  This role can be taken up by John or a different candidate may be appointed. The role will be coverage of all activities pertaining to the overseeing of efficient receipt, storage and dispatch of goods.
Collections and Dispatch Officer
The collections and dispatch officer will handle the receiving and dispatching of items or inventory for storage. The tasks include:

  • Inspecting inventory prior and subsequent to storage
  • Suggesting and providing protective packaging for items in queue for storage
  • Verifying all displacements
 
General Assistant: Packing and Sorting
The general assistant will assist with sorting and packing of inventory received before it is moved to appropriate storage areas.
General Assistant: Storage
This assistant will ensure that all sorted and packed inventory is moved to appropriate storage areas. He or she will ensure that all inventory received for storage is legibly marked.
Drivers
Three drivers will be employed by the business. They will be responsible for distributing the goods to their destinations.
