4.0    HUMAN RESOURCE PLAN

4.1    ORGANISATIONAL STRUCTURE


The organisational structure of AfriNET IT Solutions is such that it provides a clear line of reporting and communication. It is a tool aimed at showing how the team will be aligned in order to contribute towards the achievement of the goals and objectives of the business. The organisational chart is as shown below:

Responsibilities
Managing Members
The Managing Members of the business will represent the ownership and management of the AfriNET IT Solutions; they are: Adrian, Lesedi and Hilton.
General Manager
The General Manager will oversee the general well being of the business and cater for business development requirements and activities of the business.  The manager will oversee all the management activities of the business such as planning, leading, organising, controlling, coordinating, motivating and directing.  The general manager will handle all the business development aspects of the business and will assist in terms of helping clients with profiling and documentation. He or she will also manage the Internet Café area of the business.

The General Manager will be responsible for the implementation of the business plan. The general manager will play a key role in understanding the customers, minimizing competitor activity by consistently building and maintaining relationships with clients and keeping abreast of changes in the internal and external environment.

The duties of the general manager will also encompass the following:

  • Maintaining the smooth operations of the business
  • Assisting with the financial budgeting and control
  • Ensuring that all computer systems and other property, plant and equipment are well maintained and serviced regularly
  • Ensuring that all health and safety concerns are addressed
  • Ensuring that all business operations are executed well

Finance and Administration Officer
The Finance and Administration Officer will be responsible for the keeping of key financial and accounting records. This will encompass invoicing, billing, issuing receipts, processing payments to vendors or suppliers. Essentially all documents resulting from the transactions of the entity will have to be stored by the officer and further analysed. Administration duties will include the professional communication by means of letters, emails, faxes and other media with the clientele of the business. The officer will work hand in hand with the team of the business to ensure that all financial and administration tasks are handled as smoothly as possible. The officer will also assist with attending or receiving clients at the front desk of the business.  The finance and administration officer will assist the General Manager of the business with rendering profiling and documentation services.


  • Ensure that transactions are properly recorded
  • To update the cash book, general ledger and other accounting books
  • To prepare monthly bank reconciliation statements
  • Handling debtors and creditors
  • To assist with administrative related tasks such as word processing, data processing and much more
  • Produce statements for the clients of the business and issue receipts and other documents related to any transactions entered into by the business
  • To assist with the preparation of annual financial statements
  • Manage the filling of important business documents
  • Attend to customers that are making use of the internet services provided by the entity

Network Technician
The responsibility of the Network Technician will be to:

  • Provide network consultancy services to interested clients
  • Identify and resolve networking problems for clients
  • Will be responsible for the installation, configuration and troubleshooting of various networks such as LAN/ WAN, Novel/ Network
  • The Network Technician will also be responsible for maintaining the network for AfriNET IT Solutions
  • The Technician will also work in conjunction with the Computer Technician in order to render computer repairs, upgrades and software installations

In summary the scope of work for the Network Technician will be to analyse computer and network related problems for clients and diagnose the most effective methods aimed at resolving teething and major problems and thereafter implement solutions by means of installations, configurations and troubleshooting.

Computer Technician
The Computer Technician will primarily be responsible for the repair and maintenance of computers for clients. Key tasks will include:

  • Software installations
  • Installation of device controllers or drivers
  • Perform computer configurations 
  • Perform computer upgrades
  • Maintain records of computers due for repairs

Website Developer and Graphic Designer
The website developer and graphic designer will cater for the design and development of websites for clients. The officer will handle all graphic design, programming, uploading, and content management for clients. He or she will also assist in terms of registering domains and website hosting for clients. The officer will be responsible for assisting clients that require designs and print outs of promotional material such as brochures, flyers, posters, logos, letterhead designs and other related promotional articles.
Programmer/ Software Developer
The software developer will cater for the development or improvement of the electronic clocking software and the document storage and achieving portal as well as the associated software. The responsibilities of the software developer will also include coming up with new and improved software solutions.
